Vocational Rehabilitation Administrative Assistant

The Vocational Rehabilitation Administration Assistant provides administrative, clerical, and customer service support for the LCO Vocational Rehabilitation Program. This position serves as the first point of contact for consumers, community members, and partner agencies while supporting daily operations, consumer case management, financial record-keeping, and program documentation. The successful candidate will play an important role in helping individuals with disabilities access services and achieve employment and independent living goals.
- Answer and route incoming calls, retrieve voicemail messages, greet visitors, and provide information about program services.
- Prepare correspondence, reports, forms, meeting materials, and other administrative documents
- Maintain consumer files and enter information into the Tribal Vocational Rehabilitation case management system
- Assist with consumer orientations and help explain available services, program expectations, rights, and responsibilities
- Track expenditures, accounts payable vouchers, requisitions, and financial records using spreadsheets and Microix
- Coordinate appointments, correspondence, reminders, and consumer follow-up activities
- Receive, inventory, store, and distribute consumer purchases, supplies, and program materials
- Assist with monthly file reviews, compliance monitoring, records management, and case file closures
- Coordinate meetings, trainings, outreach activities, mail distribution, deliveries, and routine errands
- High school diploma or GED required; additional clerical, administrative, or office management training preferred
- Previous administrative assistant or clerical experience preferred
- Proficiency in Microsoft Office, including Word, Excel, and Outlook
- Strong organizational, time management, and multitasking skills
- Excellent written and verbal communication skills
- Ability to maintain strict confidentiality and protect sensitive consumer information
- Ability to work independently while collaborating effectively with staff, consumers, and community partners
- Demonstrated professionalism, patience, empathy, cultural sensitivity, and respect when working with individuals with disabilities and their families
